Executive Coordinator (Japanese Speaking)

Key Responsibilities
  • Act as a key contact person for Japanese executives and international assignees, coordinating smoothly with internal and external stakeholders
  • Provide coordination and administrative support to MD and management team as assigned
  • Support arrival, assignment, relocation, and return arrangements for assigned employees from overseas, including family-related settlement matters
  • Coordinate accommodation arrangements including residence search, lease agreement review, and rental-related coordination
  • Arrange and coordinate domestic and overseas business trips, meetings, site visits, corporate events, and visiting guests
  • Prepare reports, documents, and coordination materials, and provide scheduling and meeting support including follow-up on action items
  • Support translation and interpretation for meetings and official communications as required
  • Liaise with clients, business partners, suppliers, and related organizations, and support cross-departmental coordination and projects

Qualifications & Skills

  • Bachelor’s degree in any related field
  • Business-level Japanese communication skills (JLPT N3 or above preferred) and good English communication
  • Experience in coordination, interpreter, PA, secretary, or executive support roles is an advantage
  • Strong coordination and organizational skills with good attention to detail
  • Proficient in Microsoft Office and able to adapt to changing priorities
